Originally named, 'Virginia Region Alumni Association of Phi Theta Kappa', our organization was chartered in 1996, as one of the first regional alumni associations of Phi Theta Kappa International Honor Society. Since 1996, Virginia Alumni members have supported Virginia Region of Phi Theta Kappa by providing scholarships to Virginia Region campus chapters for various educational and fellowship events, as well as donating funds to Virginia Region candidates for International offices and supporting their candidacy at International Conventions. Virginia Alumni members have served as volunteers at Regional events, developed and conducted workshops for Leadership conferences to train incoming chapter officers and developed activities for Virginia Regional events. The Virginia Alumni also sponsor a yearly Senior College Transfer Fair at the Virginia Regional Convention. In 2016 the Virginia Region and the Alumni Association voted to include West Virginia in their name. Thus, we are now known as Virginia/West Virginia Region Alumni Association.

The Virginia/West Virginia Region Alumni Association (VAWVRAA) bylaws committee has been in the process of rewriting our bylaws. We are now looking for the General Assembly’s feedback by November 20, 2018. We have a draft version that is available to all alumni and would like your suggestions on things that we may have missed or should include. In order to bring everyone up to speed, we have included answers to some of the main questions below.

We are excited to hear from everyone and look forward to seeing you the Annual Alumni Meeting during the Regional Convention in Martinsburg, WV, on Saturday, March 2, 2019.

Why rewrite them?

Several months ago, Phi Theta Kappa headquarters approached all Alumni Associations and requested that we make revisions to our bylaws. Headquarters had conducted an audit of the existing bylaws and determined that there were large inconsistencies among them in both scope and specificity. The Virginia/West Virginia region, to its credit, was highlighted as having some of the most robust bylaws, but there was still a need to incorporate several changes including standard anti-discrimination language and the PTK Code of Ethics which was published in 2015. Headquarters created a standard template and asked that all Alumni Associations use it as a basis for writing new bylaws.

What is staying the same (minor changes)?

Because VWVRAA had some of the better bylaws of the Alumni Associations, the content of our bylaws is changing very little. Our elections, officer positions, election cycles, and membership requirements are all staying the same. Most changes to these sections have been updates to some of the wording to help better communicate the original intent and add some duties to various officer positions.

What are some major changes?

We have incorporated the anti-discriminatory wording that HQ requested as well as included references to the PTK Code of Ethics. We have formalized a tiered process for removing an officer from his or her position and improved the wording requiring the Executive Committee to act in a fiduciary function.

What will the role-out look like?

We are currently in the draft phase. Alumni will have time to recommend changes or make suggestions. A draft will be sent to HQ for a similar review. The intent is to have a formal vote to adopt the new bylaws during our Annual Meeting at the 2019 Virginia/West Virginia Regional Convention in Martinsburg, WV, on Saturday, March 2, 2019. We will publish a final draft that has been approved by HQ five weeks prior to meeting. The Alumni General Assembly will have three weeks to review the draft. After the three weeks, Alumni will have two weeks to submit a vote in favor or against adopting the new bylaws. Votes submitted during the two weeks and any in-person votes, will be tallied at the Annual meeting. If passed, the bylaws would then go into effect and a copy be sent to HQ to be archived.
